Three steps, about three minutes

  1. Fill in what matters. Name, title, company and one or two ways to reach you. Everything else is optional; most good signatures are four or five lines.
  2. Pick a look, or ask for one. Choose one of six layouts, or describe your role and let the AI suggest a layout, colour and font that suits your industry.
  3. Copy and paste it in. Press Copy signature, open your email app's signature settings and paste. Step-by-step guides: Gmail, Outlook, Apple Mail and iPhone.

What you get out

  • Copy signature puts formatted HTML on your clipboard, the way Gmail's and Outlook's signature editors expect it.
  • Copy HTML gives the raw source for Outlook's HTML signature files, HubSpot, Zendesk or a Google Workspace admin console.
  • Download .html saves a file you can open in Safari and copy from, which is the easiest route for Apple Mail.
  • Download PNG exports a 2× image for sharing a mockup with your team. Don't use a PNG as your actual signature: links stop working and many recipients block images.

Why it survives Outlook

Email apps are not web browsers. Outlook for Windows renders HTML with Microsoft Word's engine, which ignores most modern CSS. So the generator writes signatures the old way on purpose: nested <table> layout, every style inline, colours as hex, web-safe fonts, and a width attribute on every image.

Is this email signature generator really free?

Yes. There is no account, no watermark and no paid tier. Copy the signature or download the HTML and PNG as often as you like.

Will the signature work in Gmail, Outlook and Apple Mail?

The output is built from nested tables with inline styles and web-safe fonts, which is what all three render reliably. A few effects degrade in classic Outlook for Windows: rounded photo corners show square, and it uses its own line spacing. Nothing breaks.

Why do my images need a URL?

Email signatures do not carry images inside them reliably. Gmail strips embedded (base64) images from signatures and Outlook often turns them into attachments. Host the image on your website and paste its https:// address; every client then loads it the same way.

What does the AI part do?

Tell it your role, industry and the feel you want, and it recommends a layout, accent colour, font and what to include or leave out for that kind of job. You can apply it in one click and edit everything afterwards. It only runs when you press the button.

Do you store my details?

No. Your fields are saved in your own browser (localStorage) so they are there when you come back. Nothing is sent to a server unless you use the AI suggestion, which only sends your role, industry and chosen feel.

How big should an email signature be?

Keep the whole block under about 600px wide and roughly 100–150px tall for the text and photo part. Logos display well at 100–200px wide; export them at twice that size so they stay sharp on high-resolution screens.
