What the good ones have in common

  • The name is the largest thing. Size or colour sets it apart; nothing else competes.
  • Labels on numbers. "T" and "M", or "Office" and "Mobile", save a recipient from guessing which one to call.
  • One accent colour. Usually the company's brand colour, used for the name, a divider or a single button.
  • It works with images off. Every detail is real text, so it reads fine in Outlook's "click to download pictures" state.

For a blank starting point, see the email signature templates.

Questions people ask

What is a good professional email signature?

Name, job title, company and one or two contact routes, laid out so the name stands out. Add a photo or logo only if it helps people recognise you, and keep the block to four to six lines.

What should not go in an email signature?

Long quotes, multiple phone numbers without labels, animated GIFs, a dozen social icons, and images with text that carry the only copy of your details. If images are blocked, the signature should still make sense.

Should I put my photo in my email signature?

It helps in client-facing work where people meet many contacts (sales, recruiting, real estate). In internal or regulated contexts a logo or no image is more common.
